PHARMACY SUPERVISOR

Médecins Sans Frontières Belgium in Yemen mission is looking
for Yemeni nationals to recruit for the PHARMACY SUPERVISOR position:
Location: Mocha Project
Contract Duration – 1 year, renewable.
Contract type: Fixed – Term
Reporting to: Project Coordinator Support.
MAIN PURPOSE
Ensuring general functioning of the pharmacy and supervising
pharmacy supply chain processes in accordance with MSF standards, protocols and
procedures, in order to ensure its efficiency and operating availability.
Accountabilities
- Ensuring
storage, stock management and supply processes, as well as hygiene and
security procedures, tools, and protocols (controlling pests and rodents),
implementing appropriate quality controls and records, in order to ensure
good storage conditions (temperatures, humidity and light exposure) and
availability of drugs and medical material, according to MSF protocols,
national regulations and in cooperation with the logistics
department.
- Coordinating
the delivery, reception and recording of international and local orders,
in close coordination with the logistics department, updating stock files
and informing line managers on their status (shortfalls, over-stocking,
expiry dates), in order to permanently ensure security stock levels and
ensure efficient management of stock.
- Supervising
orders of medical and drug material in order to ensure an efficient and
appropriate consumption pattern under budget constraints.
- Supervising
the supply of drugs to patients, according to medical prescriptions,
informing them on consumption patterns and keeping conditions in order to
ensure their therapeutic progression
- Ensuring
efficient supply to other pharmacies managed/supported by MSF according to
orders and stocks and using cold chain when needed. Monitoring and
analysing orders of depending pharmacies in order to avoid ruptures of
stock or having expired drugs.
- Supervising,
with the HR department, the associated processes (sizing, staff shifts,
recruitment, training, performance evaluation, development and
internal/external communication) of the pharmaceutical team and the
nursing staff, in order to ensure both the sizing and the amount of
knowledge required and to improve their dispensing capabilities.
- Recording
all items received and issued in computer (Isystock) and reporting on drug
consumptions and medical equipment dispensed according to protocols,
informing on unusual patterns as well as forecasting future needs, in
order to rationalise the budget and to ensure availability.
Assisting in training of nursing staff regarding dispensing
of drugs and their side effects
CONTEX SPECIFIC ACCOUNTABILITIES
- A
permanent stock of essential medicines and supplies is maintained by:
assure adequate storage facilities are in place, organise the central
medical stock, proper data collection system, regular monitoring and
analysis of data and reporting of any abnormal consumptions. The drugs and
supplies provided are conform to official quality standards by following
up and documenting any quality claims and taking corrective actions.
Ensuring the pharmacy Temperature and particularly the Humidity is within
acceptable range. Any deviation shall be dealt promptly by aligning with
Log department.
- Comply
with national regulation in term of controlled drugs management in the
project and responsible for submitting reports to authorities.
- Supervise
and direct the staff in the central pharmacy and technical support to
dispensary and provide training for them as required to build their
capacity.
- Ensure
the well-functioning of the pharmacy for day-to-day activities and follow
up of distribution plans to end user units. Ensure a good distribution
practice is applied throughout the pharmacy process. Provide support to
the medical team in end-user units and participate in the supervision
visits to the units and provide constructive feedbacks to the team in term
of medications and medical supplies management.
- Ensure
the quality of data including encoding of date in Isystock and follow up
of encoding of the stock movement in stock cards. Supporting the pharmacy
Manager in the Monthly Analysis of the mission’s medical stocks and
following-up on its action’s points (donations, loans, emergency orders)
according to the tasks split to be defined.
Requirements
Education
- Bachelor’s
degree of Pharmacy management in a certified institute. Candidate must be
registered in Medical Council of Yemen
Experience:
- At
least 2-years certified work experience as a Pharmacist in Hospital or
retail pharmacy.
Languages: Arabic and English essential
Knowledge: Essential Computer Literacy (word, excel and internet)
